SME Solutions Group is a certified analytics implementation partner, focused on providing business intelligence solutions to its existing and future clients. We are currently looking for an Administrative Assistant. Under the direct supervision of the President & CEO and his Executive Assistant, this position provides administrative and secretarial support for the SME Team and SME Tampa Office. In addition to typing, filing and scheduling, the Administrative Assistant will perform duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles sensitive and confidential information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload. This position also entails providing recommended changes in office practices or procedures and all other duties as assigned.


  • Track and create reports for weekly time and travel expenses using BigTime software
  • Manage accounts receivable and accounts payable
  • Prepare and distribute proposals (software and/or services) for prospective clients with minimal turnaround
  • Office building management and ensuring tenants and employees have supplies and business operations needs including opening and closing the Tampa office, trips to post office, providing office supplies, scheduling conference room needs, etc.
  • Assist with the planning for various meetings, conferences, webinars, workshops, and other events
  • Assist with monthly preparation of thought leadership or use case specific articles
  • Organize and research monthly volunteer opportunities
  • Prepare and distribute internal monthly newsletters
  • Light calendaring, scheduling, and travel assistance
  • Onboarding and off boarding of all employees
  • Benefit management and research for new and better plans
  • Composing and answering emails as directed by the Executive
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
  • Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Support and act as liaison for third-party IT administrator


  • Business oriented undergraduate degree
  • 2+ years of experience in professional environment
  • Detail oriented with excellent time management and organizational skills
  • Past experience working with spreadsheets and strong computer/internet research skills
  • Excellent interpersonal skills including handling confidential and sensitive information
  • Proficiency with MS Office applications including Word, PowerPoint and Excel
